This popup<\/a> form can be accessed via the \"Add<\/a>add menu in the top header area of the \"icon_lifecyclestate\"<\/a>workflow state view page<\/a>, as shown in Figure 1. Alternatively, you can access the \"Add<\/a>add popup form at the bottom of the Workflow actions<\/strong> tab at this same view page, as shown in Figure 2.\r\n

This popup is shown in Figure 3 and is used to add a new \"Actions<\/a>workflow action<\/a> for the selected workflow state<\/a>.<\/p>\r\n

Parent assets:<\/th>\r\nThese read-only<\/em> fields show which \"Contact<\/a>organisation<\/a>, \"Workflow<\/a>workflow<\/a> and workflow state this new workflow action is being added to.<\/td>\r\n<\/tr>\r\n
Order*:<\/th>\r\nEnter the order number for this new workflow action here. This can indicate the order or appearance, if you would like to assign the next available reference<\/a> automatically, click on the \"Reference<\/a>“Next reference” icon next to this field.<\/td>\r\n<\/tr>\r\n
Action type:<\/th>\r\nUse this drop-down list to select which type you would like to assign this workflow action to.The action types available are listed below:\r\n

  • Assign<\/strong> – This lets you store a temporary variable. The value for the variable can be calculated from a complex expression.<\/li>\r\n \t
  • Email<\/strong> – Send an email message.<\/li>\r\n \t
  • If<\/strong> – Used to test if a certain condition is true before executing a sub-set of actions. An else<\/strong> is in conjunction with this If <\/strong>action to provide action sets that must be executed if the If condition evaluates to false.<\/li>\r\n \t
  • Wait <\/strong>– Wait for a certain duration before executing a sub-set of actions,e.g. waiting for 5 days from the start date of a \"Timesheets<\/a>timesheet<\/a> before sending a reminder email.<\/li>\r\n<\/ul>\r\n<\/td>\r\n<\/tr>\r\n

Action type specific fields:<\/th>\r\nWhen you select the\u00a0Next\u00a0<\/strong>button at the bottom of this form, new fields will appear that can be filled in. These bottom fields will depend on the\u00a0action type\u00a0<\/strong>option that has been selected above.<\/td>\r\n<\/tr>\r\n<\/tbody>\r\n<\/table>\r\n*<\/em><\/sup>The order field is mandatory, but all others are optional.\r\n\r\nOnce you are happy with your changes click the “Add workflow action<\/strong>” button at the bottom of the form. This will add a new workflow action with the details that you supplied.\r\n\r\nThe new workflow action can be viewed in the Workflow actions <\/strong>tab asset listing at the parent workflow state’s view page, as shown in Figure 4.\r\n\r\n\"\"<\/a>\r\n
