This popup<\/a> form can be accessed via\u00a0the \"Add<\/a>add menu in the\u00a0top header area of the\u00a0selected\u00a0asset<\/a> view page (e.g. \"Contact<\/a>organisation<\/a>, \"Programme<\/a>programme<\/a>, \"Project<\/a>project<\/a>, \"Subproject<\/a>sub-project<\/a>, \"working<\/a>task group<\/a> or \"Change<\/a>change request<\/a> view pages, as shown in Figure 1. Alternatively you can access the \"add<\/a>add popup form at the bottom of the Schedule<\/strong> tab at these same view pages, as shown in Figure 2. You may also add a task directly to a task group from the \"Actions<\/a>actions column menu of that task group in the Schedule<\/strong> tab, as shown in Figure 3.\r\n

In Figure 4 above, the form has been broken down into three sections:<\/p>\r\n\r\n\r\n\r\n\r\n\r\n\r\n
Section 1<\/th>\r\nThis section contains a selection of important top fields:\r\nParent assets:<\/strong> This read-only<\/em> field shows which organisation, programme, project, sub-project and\/or lower level you are adding this new task to. This provides a breakdown of the asset hierarchy so that you can see how many levels down this task is being added.\r\nReference*: <\/strong>This is a mandatory field where a unique reference<\/a> for this task must be entered.\r\nRenumber existing tasks & milestones:<\/strong> Select this check box if you want to insert this\u00a0task and renumber any existing task groups, tasks or \"Milestones<\/a>milestones<\/a>.\r\nAdd more:<\/strong> Set this check box if you’d like to keep the form open and add more tasks at this level after the current one has been created.<\/td>\r\n<\/tr>\r\n
Section 2<\/th>\r\nThese are the tabs that you can cycle through to edit each section of the task.When you navigate to a new tabbed view in this popup, any information entered in Section 3 from the previous tabbed view will be saved. This means you do not need to click on any buttons to save each tab, but can instead click on the Add<\/strong> button at the bottom of the popup when you wish to add your new task with the set details.<\/td>\r\n<\/tr>\r\n
Section 3<\/th>\r\nThis information will change as you cycle through the tabs shown in Section 2, and the available fields will change accordingly. A breakdown of the field information for each tab is provided below.<\/td>\r\n<\/tr>\r\n<\/tbody>\r\n<\/table>\r\nNOTE: If you accidentally try to add a new task with the same reference as an existing task for your parent asset then you will get a warning message.\r\n\r\nYou will not be able to add this task until the Reference <\/strong>field has been filled in.\r\n

Tab breakdown<\/h4>\r\nThe following information provides a breakdown of each of the tabbed views that may be available for you to set the task’s details under each section.\r\n

Estimate type:<\/th>\r\nSelect whether this task is a fixed effort or fixed duration task. If you select Fixed effort <\/strong>then Psoda will calculate the duration for based on the allocation levels. If you select Fixed duration<\/strong> then Psoda will calculate the required effort based on the allocation levels. If you select Advanced estimates<\/strong> then the start date, end date and estimate fields will be hidden, and you can come back and edit these estimates after this task has been created.<\/td>\r\n<\/tr>\r\n
Start date:<\/th>\r\nEnter the earliest start date for this task using one of the supported date formats<\/a> or by selecting the desired date using \"choose<\/a>calendar control<\/a>. If the task has predecessors that may push the task to a later start date.<\/td>\r\n<\/tr>\r\n

(Estimated duration):<\/th>\r\nThis field will be visible if you selected the “Fixed duration” option in the Estimate type<\/strong> field above. Enter the estimated duration for this task as a number of 8 hour days. For example 1.5 will be 8 + 4 hours. You can also use 1:30 or 1h 30m.<\/td>\r\n<\/tr>\r\n
(Estimated effort):<\/th>\r\nThis field will be visible if you selected the “Fixed effort” option in the Estimate type<\/strong> field above.\u00a0Enter the estimated effort for this task as a number of 8 hour days, for example 1.5 or 1:30 or 1h 30m.<\/td>\r\n<\/tr>\r\n

Estimated progress:<\/th>\r\nEnter the estimated progress for this task as percentage. 0% means the task has not been started and 100% means the task has been completed. If you leave this field blank then Psoda will estimate the progress based on the estimated effort, the actual effort and the estimated effort to complete the task.<\/td>\r\n<\/tr>\r\n
Charge model:<\/th>\r\nThis field will only be visible if you have sufficient permissions.<\/em>Use the drop-down list to select the charge model for this task. The following options are available:\r\n

  • Non-billable<\/strong> – not billable or chargeable<\/li>\r\n \t
  • Once-off <\/strong>– charged once as a fixed cost\r\n<\/strong><\/li>\r\n \t
  • Hourly<\/strong> – charged on an hourly rate<\/li>\r\n \t
  • Daily<\/strong> – charged on a daily rate<\/li>\r\n \t
  • Sick leave<\/strong> – leave time against this task will be deducted from the user’s available sick leave.<\/li>\r\n \t
  • Annual leave<\/strong> – leave time against this task will be deducted from the user’s available annual leave.<\/li>\r\n<\/ul>\r\n<\/td>\r\n<\/tr>\r\n
Charge rounding:<\/th>\r\nThis field will only be visible if you have sufficient permissions.<\/em>Use the drop-down list to select how timesheets will round the charges for this task. The following options are available:\r\n

  • Half-hour<\/strong> – rounding to the closest half-hour<\/li>\r\n \t

Figure 8 – Add task skill tab<\/strong><\/p> This task can have organisational skill ratings saved by selecting the skills tab in Figure 8 above. By saving an assortment of skills with accompanying ranges, you can then utilize this to filter out users for allocation. See Task skills<\/a> here for more details on how to save and utilize task skill ratings. \r\n\r\n

\"Group<\/a>\u00a0Allocated to<\/h4>\r\n\"\"<\/a>\r\n

Figure 7 – Add task allocated to tab<\/strong><\/p>\r\nYou can assign which \"icon_user\"<\/a>users<\/a> this task is allocated to by clicking on the tab indicated in Figure 7 above.\r\n\r\nSelect the users you want to allocate this task to from the Not allocated to<\/strong> list.\r\n\r\nYou may select multiple users or roles by holding the CTRL or SHIFT keys and clicking on the name of the additional user(s). To de-select, click on the highlighted name while still holding the CTRL or SHIFT keys so as not to lose all other selected users.\r\n\r\nOnce you are happy with your selection, click on the down arrow to transfer these users to the Allocated to <\/strong>list.\r\n\r\nYou may edit the users who are allocated to this task by shifting the users between the allocated and unallocated lists using the down and up arrows.\r\n\r\nThe users who belong in the allocated list will be able to log expense items on their timesheets against this task.\r\n

\"Group<\/a>\u00a0Allocation levels<\/h4>\r\n

\"\"<\/a>Figure 8 – Add task allocation levels tab<\/strong><\/p>\r\nThis tab allows you to set the allocation levels for each of the users you selected on the Allocated to<\/strong> tab. Figure 8 provides a short example of this.\r\n\r\nFor example if you set the allocation level to 50% for a particular user it means that 50% of that user’s time is allocated to this task for the duration of the task.\r\n\r\n \r\n\r\nTasks that have not been allocated to any users or roles will be highlighted in the task lists. If there are any conflicts with other tasks that will also be highlighted in the task list.\r\n\r\nOnce you are happy with your entries click the “Add task<\/strong>” button at the bottom of the form. This will add a new task with the details that you supplied.\r\n\r\nThe new task can be viewed in the Schedule <\/strong>tab asset listing at the parent asset’s view page, as shown in Figure 9.\r\n\r\n\"\"<\/a>\r\n
