This popup<\/a> form can be accessed via the \"Edit<\/a>edit button in the top header area of the budget item view page, as shown in Figure 1. Alternatively you can access the \"Edit<\/a>edit popup form via the \"Actions<\/a>actions column menu of the Budgets<\/strong> tab at the budget view page, as shown in Figure 2.\r\n

In Figure 3 above, the form has been broken down into three sections:<\/p>\r\n\r\n\r\n\r\n\r\n\r\n\r\n
Section 1<\/th>\r\nThis section contains a selection of important top fields:\r\nBudget group:<\/strong> This read-only<\/em> field shows which budget group this budget item belongs to.\r\nReference*: <\/strong>This shows the unique reference<\/a> for this budget item. NOTE: If you want to edit this field, you must make sure that the reference stays unique across the budget group.<\/td>\r\n<\/tr>\r\n
Section 2<\/th>\r\nThese are the tabs that you can cycle through to edit each section of the budget item.When you navigate to a new tabbed view in this popup, any information entered in Section 3 from the previous tabbed view will be saved. This means you do not need to click on any buttons to save each tab, but can instead click on the Update<\/strong> button at the bottom of the popup when you wish to add your new budget item with the set details.<\/td>\r\n<\/tr>\r\n
Section 3<\/th>\r\nThis information will change as you cycle through the tabs shown in Section 2, and the available fields will change accordingly. A breakdown of the field information for each tab is provided below.<\/td>\r\n<\/tr>\r\n<\/tbody>\r\n<\/table>\r\n

Tab breakdown<\/h4>\r\nThe following information provides a breakdown of each of the tabbed views that may be available for you to adjust the budget item’s details under each section.\r\n

\"budget<\/a>Details<\/h4>\r\nHere you can add or enter the description for this budget item.\r\n

\"budget<\/a>Baseline<\/h4>\r\nHere you can enter or edit values for the baselines for this budget item, broken down into monthly costs.\r\n

\"budget<\/a> Approved changes<\/h4>\r\nThe approved changes indicate changes to the budget for this item that were approved by the steering group. Through workflow the approved changes may be locked.\r\n\r\nHere you can enter values for the approved changes for this budget item, broken down into monthly costs.\r\n

\"budget<\/a>\u00a0Uncommitted forecast<\/h4>\r\nThe uncommitted forecast indicates a forecast of expenditure against this item, but that has not been committed yet. Through workflow the uncommitted forecast may be locked.\r\n\r\nHere you can enter values for the uncommitted forecasts for this budget item, broken down into monthly costs. If you leave a month blank then the uncommitted forecast will be calculated automatically by adding the baseline and the approved changes for that month.\r\n

\"budget<\/a>\u00a0Committed forecast<\/h4>\r\nThe committed forecast indicates a forecast of expenditure against this item that has been committed already. Through workflow the committed forecast may be locked.\r\n\r\nHere you can enter values for the committed forecasts for this budget item, broken down into monthly costs.\r\n

Figure 4 – Edit budget item allocation tab<\/strong><\/h4>\r\nYou can assign or adjust which users or roles this budget item is allocated to by clicking on the tab indicated in Figure 4 above.\r\n\r\nUse the\u00a0Allocated to users<\/strong> multi-select box to select the user(s) you want to allocate this budget item to.\r\n\r\nUse the Allocated to roles<\/strong> multi-select box to select the role(s) you want to allocate this budget item to.\r\n\r\nYou may select multiple users or roles by holding the CTRL or SHIFT keys and clicking on the name of the additional user(s) or roles(s). To de-select, click on the highlighted name while still holding the CTRL or SHIFT keys so as not to lose all other selected users or roles.\r\n\r\nThe selected users or members of the selected roles will be able to log expense items on their timesheets against this budget item.\r\n\r\n \r\n\r\nOnce you are happy with your entries click the “Update budget item<\/strong>” button at the bottom of the form. This will update the budget item with the details that you supplied.\r\n\r\nClick the “Cancel<\/strong>” button if you no longer want to update the budget item.<\/div>\r\n
