This popup<\/a> form can be accessed via the \"Add<\/a>add menu in the top header area of the \"Project<\/a>project view page<\/a>, as shown in Figure 1. Alternatively you can access the \"Add<\/a>add popup form at the bottom of the Meetings<\/strong> tab at this same view page, as shown in Figure 2.\r\n

Figure 3 – Add meeting form<\/strong><\/p>\r\nThis form has the following fields:\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n
Parent assets:<\/th>\r\nThese read-only<\/em> fields show which \"Contact<\/a>organisation<\/a>, \"Programme<\/a>programme<\/a> and project you are adding this meeting beneath.<\/td>\r\n<\/tr>\r\n
Subject*:<\/th>\r\nThis mandatory field is used to specify the some key words summarising the subject that will be discussed at this meeting.<\/td>\r\n<\/tr>\r\n
Location:<\/th>\r\nEnter the meeting’s location here.<\/td>\r\n<\/tr>\r\n
Date and Time*:<\/th>\r\nEnter the date and time that this meeting will be held here. By default, this will be set to the date and time of the meeting’s creation.<\/td>\r\n<\/tr>\r\n
Duration:<\/th>\r\nEnter how many hours you would like to allocate to this meeting here. For example if you want to have a half an hour meeting, enter “0.5”<\/td>\r\n<\/tr>\r\n
Invitations:<\/th>\r\nHere you can select which \"icon_user\"<\/a>users<\/a> are invited to attend the meeting. You can multi-select individuals in each section by holding the SHIFT or CTRL keys and selecting the additional user(s). To de-select, click on the highlighted name while still holding the CTRL or SHIFT keys so as not to lose all other selected users.\r\nYou can move users from the ‘Not required<\/strong>‘ list to the ‘Required<\/strong>‘ list – indicating that their attendance is mandatory, or the ‘Optional<\/strong>‘ list – meaning that their attendance is not mandatory but still welcome. You may also assign users as ‘R<\/strong>esources<\/strong>‘ for this meeting.\r\nTo move user’s from one section to another select them in their list and select the the button corresponding to which section you would like to move them to.<\/td>\r\n<\/tr>\r\n
Agenda:<\/th>\r\nEnter a longer description about what will be discussed at this meeting here so that invited people can prepare for each topic of discussion.<\/td>\r\n<\/tr>\r\n
Minutes:<\/th>\r\nEnter the meeting’s minutes here.<\/td>\r\n<\/tr>\r\n
Add attachment:<\/th>\r\nSelect this check box if you would like to add an attachment to this meeting, for example a project document that all attendees will need to have with them or have reference to.<\/td>\r\n<\/tr>\r\n<\/tbody>\r\n<\/table>\r\n*<\/em><\/sup>The subject and date and time fields are mandatory, but all others are optional.\r\n\r\nOnce you are happy with your entries click the “Add meeting<\/strong>” button at the bottom of the form. This will add a new meeting with the details that you supplied.\r\n\r\nThe new meeting can be viewed in the Meetings <\/strong>tab asset listing<\/a> at the parent project’s view page, as shown in Figure 4.\"\"<\/a>\r\n
