\"Attachments<\/a>Attachments provide a way for \"icon_user\"<\/a>users<\/a> to attach files to just about anything in Psoda, e.g. a business case document or email may be attached to a project, a report may be attached to a \"Risk<\/a>risk<\/a>, etc. Attachments can also be used to attach external links (or URLs) to Psoda assets, for example a link to a document stored in your corporate Document Management System or maybe a Google document. Finally you can use the attachment to create an internal shortcut to any other asset in Psoda, for example to an attachment under another \"folder\"<\/a>folder<\/a> or \"Project<\/a>project<\/a>.\r\n

Files vs. URLs<\/h4>\r\nIf you attach a file to a Psoda asset then that file is uploaded onto the Psoda server. The file can then be downloaded by users<\/a> with the correct access rights from anywhere that they have access to the Psoda server.\r\n\r\nIf you attached a URL then your users will only be able to access the document if they have access to the system that supplies the URL, for example they would need access to your corporate Document Management System to download the related document.\r\n

Locking and Unlocking<\/h4>\r\nIf you have attached a file then you can \"lock<\/a>lock the attachment<\/a> for changes, i.e. you can check the file out against your account. If another user<\/a> views the attachment they will see that you have it locked for editing.\r\n\r\nOnce you’ve made your changes to the file you can upload the new version to the Psoda server by using the \"unlock<\/a>unlock attachment form<\/a>. The previous versions of the file will be kept on the server and you can download them from the view attachment page<\/a>.\r\n

Force unlock<\/h4>\r\nIf you have sufficient permissions you will be able to force an attachment to be unlocked even though it was locked by another user<\/a>. This is useful for example where a user<\/a> has locked a document and then went on leave before unlocking the document again.\r\n

Delete attachment history<\/h4>\r\nIn some rare cases you may need to delete previous versions of attached files<\/a>. This ability is normally limited to users with administrator access.<\/div>\r\n
