This transaction form popup<\/a> can be accessed via the \"Add<\/a>add menu in the top header area of the\u00a0selected\u00a0asset<\/a> view page (e.g. \"Contact<\/a>organisation<\/a>, \"Programme<\/a>programme<\/a>, \"Project<\/a>project<\/a>, \"Subproject<\/a>sub-project<\/a>, etc), as shown in Figure 1. Alternatively you can access the \"Add<\/a>add popup form at the bottom of the Transactions<\/strong> tab at these same view pages, as shown in Figure 2.\r\n

Click the “Cancel<\/strong>” button if you no longer want to add a new transaction.<\/p>\r\nThis form has the following fields:\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n\r\n
Parent asset:<\/th>\r\nThis read-only<\/em> field shows which asset you are creating this new transaction for.<\/td>\r\n<\/tr>\r\n
Reference*<\/em><\/sup>:<\/th>\r\nThis mandatory field is used to specify a reference<\/a> for this new transaction, e.g. 01. The reference must be unique within your parent asset. If you click on the\u00a0\"Reference<\/a> “Find Next Reference” button next to the reference field then the system will find the next available reference number. For example if you enter the reference A_00 then the system will try A_001, A_002 etc until it finds an available value.<\/td>\r\n<\/tr>\r\n
Title:<\/th>\r\nEnter a title of this new transaction here.<\/td>\r\n<\/tr>\r\n
Description:<\/th>\r\nEnter a description of this new transaction here.<\/td>\r\n<\/tr>\r\n
Source*<\/em><\/sup>:<\/th>\r\nSelect a source for your transaction, this is a the budget item that you will take money from. If you’re adding a new transaction directly on a budget item, then the current budget item will be used as the source<\/td>\r\n<\/tr>\r\n
Destination*<\/em><\/sup>:<\/th>\r\nSelect a destination for your transaction, this is a the budget item that you will move money into.<\/td>\r\n<\/tr>\r\n
Source budget line*<\/em><\/sup>:<\/th>\r\nSelect a specific budget line on your source budget item<\/td>\r\n<\/tr>\r\n
Destination budget line*<\/em><\/sup>:<\/th>\r\nSelect a specific budget line on your destination budget item<\/td>\r\n<\/tr>\r\n
Source month*<\/em><\/sup>:<\/th>\r\nSelect the month that you would like to use from your source budget item<\/td>\r\n<\/tr>\r\n
Destination month*<\/em><\/sup>:<\/th>\r\nSelect the month that you would like to use from your destination budget item<\/td>\r\n<\/tr>\r\n
Amount*<\/em><\/sup>:<\/th>\r\nSpecify the amount of money that you want to move in this transaction<\/td>\r\n<\/tr>\r\n
Workflow:<\/th>\r\nSelect the applicable \"Workflow<\/a>workflow<\/a> for this new transaction. This field will only be editable if you have access to any transaction workflows. If you do not have access to change this field then this read-only<\/em> field will show that the workflow is assigned to be the Basic Open\/On-hold\/Close <\/strong>workflow.<\/td>\r\n<\/tr>\r\n
Custom fields:<\/th>\r\nIf there are any custom fields<\/a> defined for your transactions they will appear here.<\/td>\r\n<\/tr>\r\n
Add more:<\/th>\r\nLeave this check box selected if you would like to keep this form open to add more transactions to this asset after this new transaction has been created.<\/td>\r\n<\/tr>\r\n<\/tbody>\r\n<\/table>\r\n*<\/em><\/sup>All fields except title and description are mandatory.\r\n\r\nIf you accidentally try to add a new transaction with the same reference as an existing transaction for your selected asset then you will get a warning message.\r\n\r\nOnce you are happy with your entries click the “Add transaction<\/strong>” button at the bottom of the form. This will add a new transaction with the details that you supplied.\r\n\r\nThe new transaction can be viewed in a number of locations, including the transactions<\/strong>tabs at the parent or higher level asset’s view pages, as shown in Figure 4.\r\n\r\n
