How to ensure your PPM tool implementation is successful

Some people think that implementing a PPM tool will solve all of their project management woes and are disappointed when the reality turns out to be something very different.

Before you can even think of implementing a PPM solution you need to make sure that two other key components are in decent shape – your people and your project management processes.

Without having both of those components in place any attempt to implement a PPM tool is doomed to fail.

How do you make sure that your PPM tool implementation is successful?

  1. Check that your processes are clearly defined, well understood and that the tool you choose can support them properly. No matter how good the PPM solution you choose is (and if it’s Psoda, it will of course be brilliant!), it will not automatically fix bad processes. They will simply be incorporated into the tool, which will at least allow you to monitor how poor the processes actually are
  2. Ensure you have the right skills and expertise in your project management team. As with your processes, a PPM tool will only be as good as the people who use it. Make sure your team have top-notch project management skills and experience. A good understanding of project management methodologies are essential to use any PPM tool – in the same way as buying Final Cut Pro will not automatically turn you into the next Steven Spielberg, you need some experience to start with.
  3. Don’t skip onboarding. For any software tool to deliver its desired results, it needs to be used, and used effectively. So ensure you bring your team on board with your new PPM tool – make sure they understanding the need for it, how it will change the way they work and how it will benefit them, as well as the organisation. If they see the value in the tool, they are more likely to embrace it.
  4. Train, train, train! Make sure your team learn not just the basics of the PPM tool, but also the nitty-gritty functions that make it a really cracking piece of technology. Most vendors, including Psoda, offer free basic training, as well as more advanced courses for power users.
  5. Review often. Few things in life are set and forget, especially in business. So conduct regular reviews to check how well the PPM tool is working for your organisation and how well it is being used. Are you seeing the desired results? How do users feel about the tool? Are they using if effectively and as expected? From the outcome of the review work out how things needs to be revised to ensure you get the most of the implementation.
